Working closely with the business units (Audit, Tax and Advisory) and Human Resources, Resourcing ensures the effective utilisation and development of on and offshore resource. Responsibilities range from workforce planning and headcount management to demand and supply management for client engagements.

The role

The role of the Resource Advisor is to work with the FS Resourcing Manager to manage the resourcing and utilisation across Asset Management in FS Audit to the benefit of our people and our clients. This will involve combining the management of the annual resource planning cycle of our recurring work with the proactive management of ad hoc resourcing requests for non-audit projects. In order to do this, they need to develop a good understanding of the client base of their respective departments, the pipeline of opportunities and the skills set of the client facing staff in order to make the right resourcing decisions in conjunction with the FS Resourcing Manager.

Responsibilities

• Take responsibility for driving the year round planning process. This includes working closely with managers and senior managers within their respective departments to understand the resourcing requirements for their individual clients.
• Proactively monitor resourcing levels against client level budgets, challenging where resource requests exceed budgeted allocation.
• Chair manager meetings as a group and also on a one to one basis to ensure client needs on each client are covered.
• Understand client booking requirements in terms of complexity and the nature of the jobs, timing, skills requirement and link those with the client service staff skills set and preferences. Understand where there is flexibility in individual bookings.
• Manage the process around shortfalls – understand where the clashes are and how they can be resolved; challenge the requirements – staffing, timing etc. Proactively look for solutions by moving bookings around but still achieving appropriate level of support for our audit clients. Work as a team with the other FS RAs and Resourcing Manager to manage the shortfall position across FS Audit as a whole.
• Take responsibility for managing the Retain bookings to ensure that it accurately reflects our current resourcing positions and that is it is up to date for minimum of 6 months in advance.
• Understand the drivers behind utilisation and utilisation management. This includes appropriate charging of time worked on the client; booking of training commitments; sickness/absenteeism etc. Flag issues of either under-utilisation of resources or where individuals are working consistently over the expected hours.
• Actively participate in regular Resourcing meetings with the People Leaders/Sector leads and with the local Resourcing teams.
• Understand Headcount planning and the need for any additional staff. Proactively communicate with the FS Resourcing Manager on any issues and concerns arising from the level of headcount we have and the level of ongoing commitments. This will include gaining an understanding of blue sky work expected and the level of staff required to deliver this work.
• Manage holiday requests in conjunction with the agreed policy, approving holiday where appropriate.
• Monitor sickness/absence level highlighting issues as appropriate.
• Monitor time sheet submission, challenging where appropriate on time charged to client or other codes.
• Manage on-boarding of all new joiners.
• Training - advising on training bookings, dealing with cancellations and issues as they arise; develop and promote an understanding of the training path requirements for all grades. Chase attendance on mandatory training courses.

The Individual

• Experience in a resource management environment is desirable
• Previous experience using a workforce planning tool would be beneficial
• Ability to influence all staff and partners
• Excellent personal effectiveness to deal with conflicts, express own ideas persuasively and creatively, obtain buy-in and influence decisions outcomes while managing the expectations of the business
• Good commercial awareness of the business issues that drive resourcing
• Understand our market to balance business goals against each individual’s goals

Job Summary

This role provides a great opportunity to work as part of the Resourcing Team inputting into projects and technology improvements. The role will gain senior exposure through working closely with Resourcing Leads as well as other key stakeholders across the business.

There will be the opportunity to learn and develop technical understanding as well as rolling out of training and communications.

The role will involve being confident in the use of a range of existing Resourcing tools as well as driving and embedding new tools across the permanent and contractor workforce.

Key Responsibilities & Accountabilities

Digital transformation

- Over time gaining an understanding of the Resourcing digital landscape and driving future plans for the permanent and contractor workforce
- Working alongside the Head of Resourcing to input into the shaping of future state digital roadmap
- Working to provide increased connectivity (in processes as well as communications) between existing tools
- Driving projects to enhance existing Resourcing tools as well as rolling out new technology as required
- Monitor use and adoption in particular for new technology solutions and proactively come up with and implement solutions to drive increased adoption for new tools
- Flexibility to work across business areas, for example from contractor technology solutions through to headcount management resourcing tools

Oversight and responsibility for existing tools

- Oversight role for technical support available to Resource Managers as well as the wider business for all Resourcing tools
- Involves regular close working with our offshore team to join up communications as well as being a point of escalation as required
- Developing and maintaining supplier relationships to work with them on technical issues/ updates/ amendments
- Developing and running training sessions and induction sessions with the Resourcing Team and wider business as required across the full range of Resourcing Tools
- Working with Tools champion networks to ensure they are equipped and supported
- Already have or quickly develop expertise in Retain, ProFinda, Glassbox, Headcount Forecasting Tool, Sharepoint, Qlik Sense as well as future technology to become the expert/ point person for these

Driving projects

- Working alongside project managers/ sponsors and teams within the Tools T3 work stream to input into specific project work
- Opportunity to project manage, for example implementing future technology solutions as well as managing process improvement
- Rolling out technology (e.g. ProFinda) across capabilities understanding the business differences and drivers between different capabilities within the firm
- Driving change and communications management to both design and execute plans as well as stakeholder management
- Reviewing of reporting of e.g. adoptions rates/ ongoing use of tools to help inform next steps in project plans
- Effectively engage with other team members to drive efficient and collaborative working across project teams
- Close working with other internal teams within the firm as required as well as suppliers to ensure project delivery within time and budget
- Consultation with senior Resource Leads and requirements gathering

Additional responsibilities

- Working with a number of senior managers will give exposure to a wide variety of experience as well as additional activities within Resource Management from arranging quarterly team sessions (from agenda content through to delivering) to regular ad hoc support as required
- Ad hoc support across the Resourcing People agenda, Associates Management and Projects and Operations as required. This role provides a variety of activities and additional responsibilities alongside the core technical focus
