The Legal Executive Assistant is a highly regarded support role that demands exceptional administrative, organisational and communication skills to professionally engage and maintain collaborative working relationships with colleagues and clients.
Demonstrating customer centred, strategic thinking and influencing skills, anticipating needs and acting with a high degree of autonomy.
The role demands advanced proficiency in office software and new technology, providing digital enablement support to stakeholders.
What will you be doing?
- Efficient production of correspondence and legal documents, to a high standard and to meet deadlines. This will include making amendments to documentation often through heavily handwritten mark-ups.
- Provide proactive diary and inbox management, using knowledge and initiative to anticipate and resolve conflicts.
- Active participation in client and stakeholder engagement through organising client meetings, managing client events, engaging directly with clients, and building and maintaining strong client relationships. Manage meeting trackers.
- Coordinate booking of UK and International travel, accommodation, and visa applications.
- Compile accurate itineraries and ensure diaries are reflective of arrangements.
- Attend cascades and business updates to ensure continued client focus and strong understanding of strategic priorities.
- Delegate transactional activity through the ASK team.
- Coordinate and organise meetings and events, both in person and virtually.
- Support activity aligned to stakeholder strategic priorities.
- Work with KPMG teams to support events, ensuring processes and policies are adhered to.
- Identify and implement improvements in tasks and processes.
- Drive operational cost savings by planning travel effectively, maximising virtual meetings, and advocating internal venues and fine dining options.
- Coach and mentor colleagues and peers.
- Engage in professional support development, new ways of work, learning opportunities and obtain quality feedback to support progression.
What will you need to do it?
- Significant experience working as a Legal Secretary / Executive Assistant, ideally within in a Top 50 law firm.
- ILEX Legal Secretary Certificate and Diploma.
- Ability to prioritise work and requirements, with a flexible approach to working arrangements.
- Build and maintain collaborative working relationships with stakeholders, colleagues and clients.
- Be client-focused, understanding the expectations and requirements of stakeholders.
- Demonstrate excellent interpersonal skills, flexibility, and resilience.
- Exercise confidentiality and discretion in all aspects of the role.
- Previous customer focused experience required.
- Operate with confidence, prioritise and make decisions with limited interaction.
- Play an active role in driving continuous improvement.
- Leverage digital tools to support evolution.
